Black, Blink & Associates, LLC is seeking an organized, dependable, and detail-oriented Legal Assistant to join our Colorado Springs office.
This position plays a central role in the firm's day-to-day operations, supporting our Criminal Defense, Personal Injury, and Business Law practices. Responsibilities include firmwide client-file management, post-consultation lead processing, front-office administration, and dedicated administrative support for our Personal Injury practice.
Although this position sits at the front desk, it is not a traditional receptionist or intake role. The firm uses an automated phone system to route most incoming calls, and initial prospective-client intake is handled separately.
We are looking for someone who takes ownership of their work, keeps files accurate and organized, and reliably follows tasks through to completion.
Responsibilities
Client File Management & Legal Support
- Open new client matters and maintain complete, accurate electronic files across all practice areas
- Process, scan, save, categorize, and route incoming documents and correspondence
- Monitor files for missing documentation or incomplete administrative requirements and follow up until resolved
- Process file closures and maintain accurate closed-file records
- Maintain client and matter information in MyCase and Lawmatics
Post-Consultation Lead Processing
- Process prospective-client leads following attorney consultations
- Send and track fee agreements, follow-up communications, and related documentation
- Maintain accurate lead status and information in Lawmatics
- Monitor outstanding post-consultation tasks and follow up as needed
- Transition retained clients into active matters and establish new files
Personal Injury Support
- Submit medical records and billing requests through the firm's records-retrieval service
- Track outstanding requests through completion and provide status updates to the Personal Injury Attorney
- Review received records and bills for completeness and follow up on missing materials
- Organize and maintain medical records, bills, and related case documentation
- Communicate with medical providers, retrieval vendors, clients, and other third parties
Front Office & Administration
- Greet clients, attorneys, vendors, and visitors professionally
- Receive and process incoming mail, deliveries, payments, and documents
- Coordinate outgoing mail, document processing, and conference-room use
- Maintain a professional and organized reception and client-facing area
- Provide telephone and administrative coverage as needed, and support attorneys, paralegals, and firm management with general administrative projects
Qualifications
The successful candidate must be highly organized and capable of managing multiple ongoing responsibilities without losing track of details or deadlines.
We are looking for someone with:
- Exceptional attention to detail and organizational skills
- Strong follow-through, including the ability to track multiple open items, prioritize independently, and recognize when something needs additional attention
- Professional written and verbal communication with clients, attorneys, medical providers, vendors, and coworkers
- Sound judgment and discretion when handling confidential information
- Strong computer skills and the ability to learn new systems quickly
- The ability to follow established procedures consistently
Prior experience in a law office, medical office, insurance setting, or other detail-intensive professional environment is preferred. Experience with personal injury matters, medical records, electronic file management, or case-management and CRM software such as MyCase and Lawmatics is a plus.
Compensation & Benefits
$43,000–$47,000 annually, depending on experience. This is a salaried, in-office position in Colorado Springs.
Benefits include:
- Paid time off: 5 hours accrued per pay period, or approximately 130 hours (16 days) per year, with increases based on length of service
- Health insurance: eligible after 60 days, with the firm contributing 50% of premiums up to $600 per month
- 401(k): eligible after six months, with a 4% employer match
